Esprit Golf Domestic Travel Arrangement Terms and Conditions
The travel services described herein are provided under a Travel Arrangement Contract. Customers participating in such travel services will enter into a Travel Arrangement Contract with Esprit Golf, Inc. (hereinafter referred to as “the Company”).
Booking Procedures
To apply for a travel arrangement, please complete the Company’s prescribed application form and submit it together with a deposit equal to 30% or more of the total Tour Price.
The deposit will be credited toward the total Tour Price and deducted from the remaining balance payable.
Applications may also be made by telephone. In such cases, the completed application form and the required deposit must subsequently be submitted to the Company.
A Travel Arrangement Contract shall become effective when the Company accepts the customer’s application and receives the required deposit.
Travel Arrangement Service Fees
For making travel reservations and issuing accommodation vouchers and other travel documents, the following Travel Arrangement Service Fees will be charged.

Note: “Arrangement” includes ticket issuance even when no reservation is required.
Note: “Arrangement of sightseeing tickets, etc.” means arranging golf courses, sightseeing, dining, and other service providers.

Changes and Cancellations

Accommodation Cancellation Charges
General Information
- If a reservation is cancelled or the accommodation voucher is not used, the applicable cancellation charge stipulated by the accommodation provider will be deducted, and the balance will be refunded. Refund requests for unused accommodation vouchers must be made within one month after the accommodation date.
- Cancellation charges are calculated based on the basic accommodation charge, excluding consumption tax, bathing tax, admission tax, and other taxes or charges.
- Cancellation charges vary by accommodation provider. The following is a representative example.

Notes
- If the number of guests staying is less than the number stated on the accommodation voucher on the day of arrival, the ryokan or hotel will issue a ‘Certificate of Non-Participation.’ Please send this certificate to the issuing travel agency. The refund will be made after deducting the applicable cancellation charge based on the accommodation provider’s cancellation policy.
- When entering into a Travel Arrangement Contract, the terms and conditions and Travel Arrangement Service Fees of the travel agency through which the reservation is made shall apply. Cancellation charges are governed by the accommodation provider’s own terms and conditions.
Disclaimer
Under a Travel Arrangement Contract, the Company shall not assume the responsibilities of Itinerary Management, Itinerary Guarantee, or Special Compensation as provided under the Organized Package Tour Contract or the Custom-Designed Package Tour Contract.
The Company shall not be liable for any loss or damage suffered by the traveler arising from force majeure, including but not limited to natural disasters, war, civil unrest, suspension of travel services by transportation or accommodation providers, governmental orders, or any other circumstances beyond the control of the Company or its travel arrangement agents.
Travel Conditions for Customers Concluding a Travel Contract by Means of a Communication Contract (Credit Card Payment)
The Company may accept applications for travel arrangements by telephone, mail, facsimile, or other means of communication from cardholders (hereinafter referred to as the “Member”) of credit card companies affiliated with the Company (hereinafter referred to as the “Affiliated Card Company”), provided that the Member agrees to pay the Tour Price without signing the prescribed credit card sales slip.
Communication Contracts shall also be governed by the Travel Arrangement Contract section of the Company’s General Terms and Conditions of Business.
For the purposes of this section, the “Card Use Date” shall mean the date on which the Member and the Company are required to perform their respective obligations regarding the payment or refund of the Tour Price or other amounts payable under the Travel Contract.
When applying for a Communication Contract, the Member shall provide the Company with the details of the proposed travel services, the departure date, the credit card number, the card expiration date, and any other information requested by the Company.
A Travel Contract concluded by means of a Communication Contract shall become effective when the Company issues a notice accepting the Member’s application and such notice reaches the Member.
For applications made by telephone, the contract shall become effective when the Company accepts the application.
For applications made by mail, facsimile, or other means of communication, the contract shall become effective when the Company issues a notice accepting the application and such notice reaches the Member.
If, when attempting to conclude a Communication Contract, the Member’s credit card is invalid or the payment of all or part of the Tour Price cannot be processed in accordance with the membership rules of the Affiliated Card Company, the Company reserves the right to decline the application.
The Company may accept payment of the Tour Price stated in the Contract Document by charging the Member’s credit card without requiring the Member’s signature on the prescribed credit card sales slip. In such cases, the Card Use Date shall be deemed to be the date on which the Travel Contract is concluded.
Where travel applications are accepted through mobile devices, the Internet, or other information and communication technologies, and where the Company provides, by electronic means, the information that would otherwise be contained in the itinerary, travel service details, travel conditions, the Contract Document, or the Final Itinerary, the Company shall confirm that such information has been recorded in the electronic file stored on the Member’s communication device.
If the Member’s communication device is not equipped with a file capable of storing the information described in the preceding paragraph, the Company shall record such information in a file maintained on its own communication system and shall confirm that the Member has accessed and reviewed the information.
Handling of Personal Information
a. Esprit Golf, Inc. (hereinafter referred to as the “Company”) and the commissioned travel agency identified in the “Sales Agent” section below (hereinafter referred to as the “Sales Agent”) are collectively referred to herein as “the Company and the Sales Agent.”
The Company and the Sales Agent will use the personal information provided by the customer for the following purposes:
To communicate with the customer.
To arrange and provide transportation, accommodation, and other travel-related services.
To complete procedures necessary for the travel arrangements.
To ensure the safety and security of the traveler.
To arrange insurance procedures covering expenses arising from accidents for which the Company may be responsible under the Travel Contract.
To provide information regarding products, services, promotional campaigns, and travel-related information offered by the Company and its affiliated business partners.
To request customer comments and feedback after completion of the trip.
To conduct customer satisfaction surveys.
To provide promotional benefits and special services.
To prepare statistical and analytical data.
b. The Company and the Sales Agent may analyze purchase histories, website browsing histories, and other information obtained from customers in order to provide information and display advertisements relating to products, services, and promotional campaigns offered by the Company and its affiliated business partners.
To achieve the purposes described in Items 2, 3, and 4 above, the Company may provide the customer’s name, address, telephone number, flight information, and other necessary personal information to transportation providers, accommodation providers, and souvenir shops in either paper or electronic form.
Customers who do not wish their personal information to be provided to souvenir shops must notify the Company no later than 10 days prior to departure. If the tenth day falls on a Saturday, Sunday, or public holiday, notification must be made by the preceding business day.
The Company and its affiliated group companies may jointly use customers’ contact information, including names, addresses, telephone numbers, and e-mail addresses, for the purpose of providing business information, promotional campaigns, and other marketing communications.
The Company’s Personal Information Protection Manager shall be responsible for the management of all personal information used jointly.
Customers may request disclosure, correction, deletion, suspension of use, or other actions with respect to their personal data held by the Company.
